Grooming Staff Management
Manage staff schedules, time off, booking rules, and time cards in one place. Set how each team member is paid, review pay periods, and give groomers access to their appointments and notifications.
Staff schedules
Build schedules that repeat weekly, every other week, or apply to a single date. Set each groomer’s working hours and make changes to individual days when needed.
A new repeating schedule can start from a selected date while keeping earlier schedules intact. For businesses with multiple locations, each shift can include the shop where the groomer is working.
Online booking uses those schedules when showing appointment availability.
Time off requests
Let groomers request time off from their own phone using a month calendar. They can select a date range, add a note, and indicate whether the request is paid, unpaid, or a mix.
Owners and managers can approve or deny requests. Approved time off updates the groomer’s schedule and removes those dates from online booking availability.
Requests remain visible with their status. Staff can withdraw a pending request, and owners or managers can remove approved time off when plans change.
Groomer to dog matching
Set which dogs each groomer can take using weight limits, handling levels, and the dog’s approved groomers.
These rules apply when online booking selects eligible groomers. A dog restricted to certain groomers is only offered appointments with those groomers, subject to their schedules and other booking rules.
Each groomer can also be enabled or disabled for online booking from their profile.
Time and price adjustments
Adjust appointment time and price for individual groomers by service group or service.
Add or subtract minutes to account for how long a groomer needs. Price adjustments can be set as a dollar amount or percentage. Changing a groomer’s time allowance does not change the price by itself.
Group and service adjustments add together when both apply. The booking calculation uses the adjustments saved for the selected groomer.
Training requirements
Set which services or service groups require a trainer to be scheduled when booking a groomer in training.
A trainee can have more than one trainer, with a separate list of services or groups for each. For an appointment that requires supervision, at least one applicable trainer must be scheduled for the full appointment.
The rule checks the trainer’s working hours. It does not reserve a separate appointment on the trainer’s calendar.
Staff logins and permissions
Start your 30-day free trialCreate a login for each team member and send their sign-in link by email, or copy the link to share yourself.
Staff accounts handle daily work. Manager accounts also have access to salon setup, and the owner controls staff and manager role changes.
The front desk computer can have its own login. That account does not create a staff record or use a groomer seat, and it does not have access to payroll.
Time clock
Staff can clock in and out using a four-digit PIN from their phone or the salon’s desktop.
When clocking out, they can indicate whether they are leaving for lunch or ending their shift. Time cards group the day’s punches together so you can review working time and lunch breaks in one place.
Owners and managers can correct clock-in and clock-out times, add missing entries, and review time cards by date range before preparing payroll.
Compensation
Set hourly pay, salary, service commission, or a combination for each team member.
Commission can use a flat percentage or a sliding scale based on service sales. For a sliding scale, choose whether the highest rate reached applies to all sales or each rate applies only to sales within that tier. Individual service groups can have their own commission percentages.
For staff with hourly pay and commission, you can choose to calculate whichever amount is higher for the pay period.
Pay periods and reporting
Choose weekly, every-other-week, twice-monthly, or monthly pay periods.
Review each team member’s hours, service sales, calculated pay, and recorded tips. Open time-clock entries are identified for review. Commission can be based on the recorded price of completed appointments or the service revenue collected, using the business’s selected setting.
Once a pay period has ended, close it to save its calculated figures. Export the period as a CSV file, or reopen it to recalculate after corrections.
Minouflow prepares the figures for payroll. Wage payments and tax filings are handled through your payroll provider.
Calendar feed
Give each groomer a private subscription link to view their Minouflow appointments in Google, Apple, or Outlook calendars.
The feed is read-only. Appointment changes are made in Minouflow and appear when the connected calendar refreshes.
An owner or manager can turn the feed off or generate a replacement link. Replacing the link stops the old link from receiving updates.
Busy time from personal calendars
Connect a Google calendar or add an iCloud calendar link to bring a groomer’s busy events into Minouflow as blocked time.
For Google, choose which calendars should count. Events marked Free are ignored, and busy events are checked for changes every five minutes.
These blocks affect booking availability. Disconnecting the calendar removes the blocks that connection added.
Staff notifications
Choose which updates each team member receives by text or email.
Notification settings cover new appointments, moved or cancelled appointments, time-off decisions, client arrivals, and work-schedule changes. Each team member can manage their own notification choices.
Staff can also receive tomorrow’s appointment lineup at the sending time configured for the salon.
Frequently asked questions
Can staff request time off themselves?
Yes. A team member with a linked login can submit a request from their profile. An owner or manager reviews it, and approval updates the groomer’s schedule.
Can a groomer work different hours every other week?
Yes. Schedules support alternating weeks and changes for individual dates. Each shift can also have its own location.
Can different groomers have different appointment lengths?
Yes. Add or subtract time by service group or service on the groomer’s profile. Price adjustments are configured separately.
Can I use both hourly pay and commission?
Yes. Compensation supports combinations of hourly pay, salary, and commission. You can also choose the higher of hourly pay or commission for the period.
Does Minouflow process payroll payments?
Minouflow calculates pay-period figures and exports them for payroll preparation. It does not send wages or file payroll taxes.
Do receptionists count as groomer seats?
Only active team members with Takes bookings enabled count toward bookable groomer seats. Turn that setting off for support staff who do not take bookings. A dedicated front desk computer login does not use a groomer seat.
